In order to facilitate access to the information of your community of owners, it is provided to all owners, the possibility to consult all the general documentation of their community, as well as to have available at all times through web access, the states accounting and general community documentation, to verify that their dues have been paid and are recorded.
Visits will be made to the urbanization regularly, in accordance with the terms of your contract with us in order to control and manage the correct functioning of the urbanization and the work of suppliers and employees and to attend to any eventuality that is can produce.
We assist presidents with their communications, in meetings, and manage their community's legal representation to public authorities and entities. We offer, in turn, the following services:
Custody of official documentation of the complex. Such documentation means the original documentation provided by the previous documentation, the documentation of the different accounting years, the record book, the contracts with different employees and suppliers, the communications received and and ultimately all that documentation of interest to the Community.
Database Registration and implementation of the community's accounting system. Revision of Statutes, coefficients and other relevant documents, if necessary. Maintenance of accounts in accordance with the general plan of accounts established by ATRA Abogados Málaga. Preparation of the Annual Financial Reports to be submitted to the General Meeting.
Organization and celebration of the Ordinary General Meeting, including the sending of the convocation of the board, attendance at it and drafting and sending the minutes. Management of collections and payments, both with the bank and through cash. For cash payments these will be taken to the bank within a maximum period of 48 working hours, cash payments will not be accepted outside of business hours of the office.
Circulate to the commoners, in the periods established by the community, the corresponding fees and receipts according to the established billing model. Corresponding Delinquent Management in the notification and monitoring of their debts and judicial and extrajudicial procedures. Act, in accordance with the law of data protection, regarding the access, modification and distribution of content regarding the Community of Owners.
Control of the basic maintenance services of the property. Delivery of all types of certifications, as established in the LPH, both on agreements, financial statements and elected officials. For the improvement of the services of the Community of Owners, in addition to the basic services mentioned above.
MANAGEMENT additionally performs the following value-added services, which go beyond the activities normally established for a Secretary-Administrator: Legal Representation of the Community before Entities and Authorities. Attend meetings of the Committee, with no limit of attention. Continuous monitoring of communication to debtor owners by human and technological means. Send and record notifications by e-mail, letters and SMS text messages. Phone call log. On-site administration. Routine visits will be at least one per week or as many as are necessary to attend to any urgent matter until resolution. Control and description of the tasks and work of the employees of cleaning, gardening, maintenance, concierge and secretarial. Control of contractors for the different services and products contracted.
Coordination of building rehabilitation projects and technical inspections of ITEs buildings. Annual financial reports. Coordination and supervision of extraordinary repair work and facilityexpansion and improvementprojects. Reports-Legal or technical opinions on any matter relevant to the community. Legal assistance against third parties. In-situ secretariat. Registration of the Community with the Spanish Data Protection Agency.
